Q: What is Outfitters4's view of the client relationship and our overall role?

A: We view our work with you as a partnership. Our goal is to provide accurate, timely, and reliable financial information and support while helping you make the best use of your resources.

The strongest partnerships are built on clear communication, timely information, and shared accountability. While Outfitters4 is responsible for providing professional guidance, accurate processing, and dependable reporting, we also rely on our clients to provide information, approvals, and decisions in a timely manner.

This FAQ outlines the key practices that help us work together efficiently, maintain accuracy, and keep costs under control.

Q: Why should we use our designated Outfitters4 client email address? 

A: To help us provide the best possible service, we ask that you include your designated Outfitters4 client email address on all communications with the Outfitters4 team.

Using your client email provides several important benefits:

  • Simplifies communication.
    You don't need to remember which member of our team handles accounting, payroll, HR, benefits, compliance, or other services. Simply include your client email, and your message will reach the appropriate team member every time.

  • Improves efficiency.
    With more than 100 client organizations (and growing), we are committed to maintaining clear communication and efficient workflows. Including your client email ensures the appropriate team members are included from the start, reduces the need for internal forwarding, and helps us maintain a complete record of communications related to your organization.

  • Helps us serve you better.
    By reducing administrative work and keeping communication organized, our team can spend less time managing emails and more time providing timely, responsive support to your organization.

A simple habit of including your designated client email on every communication helps us work together more efficiently and provide the high level of service you expect.

Timeliness and Deadlines

Q: Why is timely submission of information so important?

A: Timely information is one of the most important factors in our ability to serve you well. When we receive information promptly, we can maintain efficient workflows, meet reporting deadlines, and ensure the accuracy of your financial records.

  • Efficiency: Information received after expected deadlines often takes significantly longer to process and can disrupt established workflows.

  • Cost Control: Timely submissions help us work within our standard processes. When information is delayed, additional time and resources may be required, which can increase service costs.

  • Accuracy: Delayed information increases the risk of errors in payroll, benefits administration, and financial reporting.

  • Most importantly, timely communication helps us provide the level of service and responsiveness that our clients expect.

Q: What are the submission expectations for financial documentation? 

A: The sooner we receive financial information, the more efficiently we can process it and keep your records up to date. Whenever possible, documentation should be submitted as it becomes available.

At a minimum, all financial documentation should be provided to Outfitters4 by the beginning of the month following your receipt of that documentation (for example, January documentation should be submitted by February 1, but the earlier the better).

To maintain accurate records and complete monthly reporting on schedule, please provide the following as applicable:

  • Vendor invoices

  • Emails containing expense information or approvals

  • Payment information (if you do not use Bill.com)

  • Receipts for all company transactions, including credit card, debit card, and ACH transactions

  • Copies of checks

  • Contracts and agreements

  • Grant award letters and related funding documentation

We also ask that you ensure employees submit receipts and supporting documentation for company transactions promptly. Missing documentation often creates delays and additional follow-up work for both your team and ours.

Q: How quickly should clients respond to requests from Outfitters4?

A: We ask that clients respond as promptly as possible to requests for information, documentation, approvals, authorizations, or decisions.

Many of the services we provide—including payroll processing, tax filings, compliance reporting, and month-end close activities—depend on timely responses. Even a brief acknowledgment can help us understand that a request is being addressed and allow us to plan accordingly.

Just as we work to respond promptly to our clients, we appreciate timely communication that helps keep projects moving, avoids unnecessary delays, and ensures important deadlines stay on track.

Clear and timely communication is one of the most important ways we can work together effectively and maintain a strong partnership.

Payroll & Policy Changes

Q: When should we notify Outfitters4 about personnel or policy changes? 

A: The sooner we are aware of personnel and policy changes, the better we can help ensure payroll, benefits, reporting, and compliance matters are handled accurately and on time.

Please notify Outfitters4 via this link as soon as possible whenever a change takes effect, including:

Personnel Changes

  • New hires

  • Employee departures

  • Changes in employment status, compensation, hours, or other matters that may affect payroll or benefits

Policy and Benefit Changes

  • Adoption of new personnel policies

  • Changes to existing policies

  • Changes to employee benefits, insurance, retirement plans, or other benefit programs

Early communication helps us avoid delays, reduce the risk of errors, and ensure that the appropriate actions are taken in a timely manner.


Access and Documentation

Q: What access and documentation does Outfitters4 need from clients? 

A: To support your organization effectively, we need timely access to key systems, information, and documentation. Having the right access allows us to work efficiently, respond to issues more effectively, and support your organization in meeting important deadlines. 

Please provide the following as applicable:

Current Contact Information
Provide names, titles, email addresses, and phone numbers for key contacts and notify us when those contacts change.

Monthly Benefit Invoices
Submit benefit invoices as soon as they are received, and no later than the beginning of the following month.

Bank Account Access
Provide access to new bank accounts as soon as possible and, at a minimum, within five business days of opening the account.

Portal Access
Please provide access upon request to:

  • Employee benefit portals

  • Payroll portals (if you are not a Gusto client)

Tax Accounts
Please grant appropriate access to federal, state, and local tax accounts when requested by the Outfitters4 team.

Financial Reporting Deadlines
Let us know about upcoming reporting deadlines—such as grant reports, audits, annual filings, or other external requirements—as soon as they are known so we can plan our workload and support you effectively.

Providing timely access and documentation helps us avoid delays, respond proactively, and deliver the level of service our clients expect.


Accuracy and Review

Q: What is the client's role in ensuring data accuracy? 

A: The quality of our work depends on the quality of the information we receive. We rely on clients to provide complete and accurate information so that payroll, reporting, compliance, and financial records can be processed correctly.

If you become aware of missing information, errors, or changes that affect previously submitted information, please notify us as soon as possible so we can make any necessary corrections.


Q: Do we need to review the work completed by Outfitters4?

A: Yes. While Outfitters4 takes great care to ensure accuracy, client review is an important part of the process. You know your organization best, and a timely review helps identify questions, discrepancies, or changes that may not be apparent to our team.

We ask clients to regularly review reports, payroll information, reconciliations, and other work products provided by Outfitters4.

As part of this review process, clients are expected to electronically sign the monthly packet—including financial transaction statements (bank accounts, credit cards, DIVVY, Bill.com, and similar accounts) and reconciliations—to confirm their review and approval.

Regular review helps ensure that financial information remains accurate, complete, and aligned with your organization's activities.

Q: What are the expectations around meeting attendance? 

A: Regular attendance at scheduled meetings helps ensure productive communication, timely decision-making, and forward progress on important projects and responsibilities.

If you are unable to attend a scheduled meeting, we ask that you provide advance notice whenever possible so that we can adjust plans and make the best use of everyone's time.

Please note that some clients may be subject to meeting cancellation or no-show fees as outlined in their service agreements.


Special Requests and Procedures

Q: How far in advance should we submit special requests?

A: Whenever possible, please submit special requests at least five business days before the information, analysis, or deliverable is needed.

Special requests are any requests that fall outside the scope of our regular services or established timelines, such as specialized grant reporting, program-level financial analysis, board reporting, or other custom projects.

Advance notice allows us to schedule the work appropriately, gather any necessary information, and provide the most accurate and thorough support possible. While we strive to accommodate urgent requests whenever possible, advance planning helps ensure the highest quality results and minimizes disruptions to other client work.

If an urgent matter arises, please contact help@outfitters4.com, which is monitored by multiple members of our team. We will review time-sensitive requests as quickly as possible, but our ability to accommodate them will depend on the nature of the request, the information available, and existing deadlines and commitments. 


Q: Are there standard procedures clients should follow? 

A: Yes. During implementation and throughout our work together, we establish processes and procedures designed to support accuracy, efficiency, and consistency.

Following agreed-upon procedures helps reduce delays, avoid duplication of effort, and ensure that information is processed correctly. If a process is no longer working well for your organization, we encourage you to discuss it with us so that we can evaluate whether adjustments are needed.

Like all successful partnerships, our work together is most effective when both parties follow the processes we've agreed to use.
